What is ExigentOps?

ExigentOps is records management software (RMS) for fire departments. It files incident reports to NERIS and keeps the rest of your department’s records — scheduling, training, exposures, apparatus checks, hydrants, inspections, pre-plans and burn permits — in the same system.

Who is ExigentOps for?

Volunteer, combination and career fire departments, priced by how many incidents each runs. It fits best for departments that want everything in one system at a published price and don’t need a patient care (ePCR) system.

How much does it cost?

Volunteer: $1,200 a year for up to 300 incidents. Combination: $2,400 a year for 301 to 1,500. Career: $4,800 a year for 1,501 to 5,000. Larger departments get a quote. Every tier includes every feature and unlimited members.

Is there a free trial?

Yes. Every department gets a 30-day free trial with every feature. No credit card is needed.

How do we pay?

We invoice once a year and take payment by check mailed to ExigentOps. Monthly invoicing is available if your budget works that way.

Is ExigentOps compatible with NERIS?

Yes. ExigentOps passed the NERIS V1 data exchange compatibility check in October 2026 and files reports through the official NERIS API. The NERIS seal shows technical compatibility, not an endorsement.

What is the best NERIS software for a small volunteer fire department?

Look for NERIS V1 compatibility, checks before filing, a price that doesn’t charge per member, and something that works on phones with bad signal. ExigentOps was built for exactly that: $1,200 a year for volunteer departments, every member included, with offline reports and plain-English NERIS checks.

Does ExigentOps work on phones?

Yes. It runs in the browser on any phone, tablet or computer. Incident reports, apparatus checks and inspections save on the device without signal and upload later.

Does it use AI?

ExigentOps can draft an incident narrative from the facts in the report and the officer’s typed or dictated notes, using Claude by Anthropic. It never files anything on its own: the officer reviews and edits every draft, and the chief can turn AI off for the department.

Does ExigentOps connect to dispatch?

ExigentOps connects to Active911. Calls come in every two minutes with the address, dispatch notes and who responded, and a report can be started from the call. Each department connects its own Active911 account.

Can residents request burn permits online?

Yes. Each department gets a public burn permit page where residents request and look up permits without an account. A one-click burn ban suspends every active burn permit and emails each holder.

Does ExigentOps do EMS patient care reports (ePCR)?

No. ExigentOps records EMS patients on the NERIS incident report, but it is not a patient care reporting or EMS billing system.

Does ExigentOps report to our state?

ExigentOps files to NERIS. If your state also requires a separate state submission, ExigentOps doesn’t send that today; check with your State Fire Marshal.

Who owns our data?

Your department does. You can download every record as CSV and JSON files at any time, and we never use your data for advertising or to train AI. A HIPAA business associate agreement is available.

How do we get started?

Create your department, add stations and apparatus, paste in your roster, then enroll ExigentOps in your NERIS account using our setup guide. Most departments are ready to file in an afternoon.

Try it on your next run report.

30 days free. Every feature, everyone on your roster. No card, no contract. We invoice by mail when you decide to stay.
