Fire department records management · NERIS reporting

Write the run report once. NERIS takes it from there.

Incident reporting, scheduling, training, apparatus checks, hydrants, inspections and burn permits in one system — for volunteer, combination and career departments. Built by Captain Stan Braxton (Ret.) after over 25 years of writing reports at the end of long calls.

From the alarm to NERIS, on one screen

Here is one structure fire, start to finish. Every time below is a field ExigentOps captures, and every step is a button in the app.

  1. Call received

Alarm time, call answered and entered-in-CAD on one screen, straight off the dispatch printout — or pulled in from Active911.

  2. First unit on scene

Dispatched, en route, on scene and cleared for every unit. Calls that run past midnight roll to the next day on their own.

  3. Officer writes the report

Type “kitchen fire” and pick the NERIS code. The form asks the fire questions on fires and the patient questions on EMS calls. Dictate notes and get a draft narrative to edit.

  4. Chief signs off

Nothing leaves the department until the chief approves it. Reports that need work go back to the officer with notes.

  5. Filed with NERIS

ExigentOps checks the report with NERIS first and tells you in plain English what’s missing. Then it files it and keeps the NERIS ID.

Built around how small departments actually work

Burn permits

One click to call a burn ban

Residents request burn permits on your public page — no login, no phone tag. Call a ban and every active permit is suspended and every holder gets an email. Lift it and they’re restored.

“I wrote my share of reports sitting in front of a computer after a long call, on software that fought me the whole way. ExigentOps is the system I wanted: quick to fill out, hard to get wrong, and done when it says it’s done.”

Common questions

What is ExigentOps?

ExigentOps is records management software (RMS) for fire departments. It files incident reports directly to NERIS, the national fire reporting system that replaced NFIRS, and also covers scheduling, training, exposures, apparatus checks, hydrants, inspections, pre-plans and burn permits.

How much does ExigentOps cost?

One yearly price per department, set by how many incidents you run: Volunteer is $1,200 a year (up to 300 incidents), Combination is $2,400 (301 to 1,500) and Career is $4,800 (1,501 to 5,000). Every tier includes every feature and unlimited members. Larger departments get a quote.

Does ExigentOps file to NERIS?

Yes. ExigentOps connects to NERIS through its official API and is NERIS V1 Data Exchange Compatible. It checks each report with NERIS before filing, explains any errors in plain English, and keeps the NERIS ID for corrections.

Can we use it without cell signal?

Yes. Incident reports, apparatus checks and inspections save on the phone or tablet and upload automatically when signal comes back, without creating duplicates.

Is there a free trial?

Every department starts with a 30-day free trial with every feature turned on. No credit card is needed; we invoice by mail and take payment by check.
